ERP for UAE and GCC businesses

Your people, payroll and purchasing on one system.

Exbida brings HR, payroll, finance and procurement together, with the night audit and outlet controls hotels need. Every module shares one employee record, one approval engine and one ledger, across every company you run.

Three modules, one record

Human resources, finance and procurement in one platform.

License the modules your business needs. They share the same organizations, users, permissions and approval workflows, so nothing is keyed twice.

Human Resources

The employee lifecycle from offer to final settlement, with payroll that reads straight from attendance.

Finance

A general ledger with the sub-ledgers around it, from supplier invoices to depreciation runs.

Procurement

Requisition to goods receipt, with stock and cost control for every outlet and cost point.

Workspace overviews

Every workspace opens on the questions you'd ask first.

Each overview answers a question, and every figure links to the screen where you fix it. Here the general ledger shows what is still holding the month open.

General Ledger overview. Bank reconciliation, balance-sheet reconciliation, journals and sub-ledger control, each with its own progress.
General Ledger

Does the ledger balance, and what is holding the period open?

Payables

What is blocking the payment run, and how much cash do we need each week?

Receivables

Who do we call first, and who is trading over their credit limit?

Purchasing

Which late orders has nobody chased yet?

Materials

Which stores are below reorder level, and which stock hasn't moved?

Fixed Assets

Does the asset register tie to the ledger?

Budgeting

What would applying this budget do to the ledger?

Revenue

Did last night's audit tie?

Hotels and multi-outlet operators

Ready for properties that close the day with a night audit.

Revenue, purchasing and stock work by outlet and cost point, so a resort with five restaurants runs on the same system as its back office.

Revenue

Night audit tie-out

Check each audited night's revenue, collection, split and statistics documents, and spot the nights nobody ran.

Revenue

PMS and POS feeds

Bring revenue in from your property and point-of-sale systems, then post it to the ledger through revenue templates.

Revenue

Outlet performance

Compare each outlet's contribution with the same months last year, and see the revenue mix by type.

Procurement

Outlet requisitions

Kitchens and outlets raise requisitions against their own store. Track each one from request to purchase order.

Materials

Daily cost analysis

Follow food and beverage consumption by cost point every day, with month-end checks before you close.

Purchasing

Supplier follow-up

Late orders are ranked by days overdue and value outstanding, showing which ones have been chased.

Payroll administration

A payroll that reads from attendance, not from spreadsheets.

Approved leave, overtime, loans and encashments become payroll exceptions the moment they're approved. When you run the batch, it's all already there.

  1. Attendance closes

The daily attendance worksheet reconciles biometric punches against rosters and shifts into payable days, with late entry, early exit and overtime minutes.

  2. Approvals fold in

Leave, overtime, variable earnings, deductions and loan installments arrive as exceptions and adjustments. Anything approved after a cycle closes moves to the next open one.

  3. The batch computes

Fixed and variable earnings, deductions, overtime and statutory schemes, calculated per employee with a cost allocation by cost center.

  4. Finalize and freeze

Once finalized, each payslip keeps its full salary breakdown. Nothing recalculates afterwards, so what employees see is what was paid.

  5. Disburse and post

Pay through the employee's bank, then generate journal vouchers from your posting rules and export them to the ledger.

Final settlement

End-of-service settlements that are calculated, explained and locked.

Exbida prices gratuity, leave, air tickets, notice pay and loan recovery from the employee's own balances, using the same engine as your monthly payroll.

  • Edit a unit and the amount follows, or edit the amount and the units follow.
  • Any figure that differs from the calculated value needs a written reason.
  • Finalizing settles open loans and produces a locked PDF statement.
  • The net amount flows into the next payroll cycle automatically.

Self service

Employees and managers raise their own requests.

Each request shows the relevant balance before it's submitted, then follows your approval workflow. HR stops re-keying forms and starts reviewing them.

Time & attendance

From the biometric device to payable days.

Raw device events come in, missed punches get corrected, and the daily worksheet finalizes every employee-day against their roster and shift.

  • Roster types and shift patterns with week-offs and public holidays.
  • Correct missed punches before the day is finalized.
  • Reports for daily working hours, monthly attendance, overtime and rosters.

Approval workflows

One approval engine for every request in every module.

Build the workflow once per request type, per organization or per department. Exbida works out who approves each step and applies the result when the last step signs off.

Multi-organization

Run every legal entity from one login. Data, configuration and workflows stay separate per organization.

Central user accounts

Invite people by email into the organizations they work in, and switch off a leaver's access in one place.

Permissions by action

Grant read or write per module and screen, through roles and groups. Audit logs record who changed what and when.

Approvals waiting on you, tasks due and requests you've raised in one place. Press ⌘K to find any page, person or purchase order.

Alerts and notifications

Date-based reminders such as expiring documents and work anniversaries, scheduled alerts, broadcasts and live in-app notifications.

Forms and letters

Design salary certificates and NOCs with tags like {{employee.full_name}}, version each template and generate the PDF in seconds.

Journal vouchers

Posting rules and cost allocation splits turn payroll into journal batches, queued for export with retries.

Opening balances

Load leave, ticket and accrual balances for every employee in one grid, or import them from a file at go-live.
